West Coast Environmental Law is seeking an administrative professional to support the Executive Director & Senior Counsel, ensure the smooth functioning of the West Coast office and coordinate human resources administration so that we may fulfill our mission and values in our work for environmental and Indigenous justice. This is an immediate opening for a part-time (0.8 FTE) staff position based at our Vancouver office.

Responsible to: Executive Director & Senior Counsel (ED/SC)
Reports to: Director of Operations 
Position type:  28/hours a week (0.8 time) based at our Vancouver office. 
Compensation: Annual salary of $40,000 - $47,200 /year ($50,000 - $59,000 pro-rated to 0.8 time) based on experience and competitive vacation and benefits package, including pension (RRSP contribution) after one year of employment.

RESPONSIBILITIES

Executive Assistance to the ED/SC  

  • Arrange board, committee, and other meetings for ED/SC; prepare related reports and packages, catering, logistics and, if necessary, travel arrangements; assist with special requests from board members; 
  • Take minutes at board/committee/staff meetings and follow up on action items; 
  • Maintain the content of the board Sharepoint site; with support from IT troubleshoot board questions about accessing online materials;
  • Coordinate the content of the staff Wiki site; with support from IT troubleshoot staff questions about accessing online materials; 
  • Monitor ED/SC email for action items/deadlines and organize ED/SC calendar; 
  • Coordinate staff preparation for organization-wide reporting and legal filings such as lobby reports; 
  • Coordinate special events, e.g. AGM and strategic planning, including related reports and packages; 
  • Organize meetings between/among staff as requested by ED/SC; and 
    other tasks as assigned by the ED/SC.

Office Coordination  

  • Coordinate general office requirements (e.g., ordering supplies, arranging repairs, liaising with cleaners, maintaining office equipment, updating of postage meter rates etc.);
  • Maintain a tidy, welcoming office environment for staff and guests;
  • Coordinate/manage staff requests for IT and phone system support;
  • Maintain the photocopier (call for service, toner, replenish toner, remove paper jams, etc.); 
  • Participate in all-staff projects, office organization, and office maintenance; 
  • Carry out library interfiling and cataloguing; 
  • Monitor the Admin email inbox; 
  • Monitor the general phone and voicemail; and 
  • Pick up physical mail from the mailbox.

Human Resources Coordination 

  • Coordinate of logistical aspects of hiring, orientation, evaluation and exit processes for staff and volunteers;  
  • Handle filing of HR records;  
  • Support internal culture, including ongoing relationship and team building, and seasonal celebrations. 
  • Lead on staff/volunteer recognition; and, 
  • Foster effective internal communications regarding all of the above.

QUALIFICATIONS

  • Minimum 3 years of administrative experience at an executive level, and office coordination experience; 
  • Detail oriented; 
  • Strong oral and written communication skills; 
  • Service-oriented (you enjoy being in service, supporting the needs of others efficiently and effectively);
  • Exemplary judgment and discretion when dealing with sensitive and confidential information; 
  • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment; 
  • Ability to prioritize and handle a diversity of tasks and meet deadlines;  
  • Ability to work independently and take initiative, while thriving in a collaborative environment; and
  • Proficiency with MS Office programs and comfort with learning new tools and platforms.
